Cancellation & Refund Policy Overview

At Mountain King Treks & Expedition Pvt. Ltd., we are committed to providing a fair, transparent, and professionally managed cancellation and refund process for all trekking, tours, peak climbing, mountaineering expeditions, and other travel services in Nepal.

This Cancellation & Refund Policy explains our cancellation procedures, refund eligibility, trip postponements, booking amendments, and other important terms relating to cancellations and refunds. Our goal is to ensure clarity, fairness, and mutual understanding between our clients and our company.

By confirming a booking with Mountain King Treks & Expedition Pvt. Ltd., you acknowledge that you have read, understood, and agreed to this Cancellation & Refund Policy, together with our Booking Policy, Payment Information, Terms & Conditions, and other applicable company policies.

Advance Deposit Policy

To confirm your booking, a non-refundable deposit of 25% of the total trip cost is required.

This deposit enables us to begin arranging trekking permits, experienced guides, accommodation, transportation, accommodation reservations, and other essential travel services in advance.

Although the deposit is non-refundable, it may be transferred to a future departure date in accordance with our Trip Postponement Policy.

Client Cancellation Policy

If you choose to cancel your confirmed booking, the advance deposit is non-refundable, as trip preparations and operational commitments usually begin immediately after your booking has been confirmed.

If you are unable to travel, we encourage you to contact us as early as possible. Depending on the timing of your request, you may be eligible to transfer your booking in accordance with our Trip Postponement Policy.

Any additional payments already made will be reviewed based on the services already arranged on your behalf and the terms outlined in this policy.

Trip Postponement Policy

If your travel plans change, you may request to transfer your booking deposit to a future departure date by providing written notice at least 14 days before your scheduled departure.

All postponement requests are subject to trip availability, seasonal conditions, operational feasibility, and any applicable price adjustments or additional costs.

Unavoidable Circumstances

If your trip is affected by circumstances beyond our reasonable control, such as natural disasters, severe weather, government restrictions, political unrest, pandemics, or major transportation disruptions, Mountain King Treks and Expedition Pvt. Ltd. will make every reasonable effort to offer:

• An alternative departure date; or

• A travel credit for a future trip.

The available option will depend on the specific circumstances and the services already arranged on your behalf.

Company Cancellation Policy

If Mountain King Treks and Expedition Pvt. Ltd. cancels a trip due to operational, safety, or logistical reasons, we will refund all payments received, excluding any non-refundable or non-recoverable costs already incurred on your behalf, such as government permits, accommodation deposits, transportation reservations, or other confirmed third-party services.

Refund Processing Time

Approved refunds will be processed within a reasonable timeframe after confirmation.

Any applicable bank charges, transaction fees, currency conversion fees, or international transfer costs may be deducted from the refundable amount.

Unused Services

Once your trip has commenced, refunds cannot be provided for unused or missed services, including:

• Voluntary early departure from the trip

• Missed flights, transportation, or scheduled activities

• Itinerary changes requested during the trip

• Services not used by personal choice

Force Majeure

Mountain King Treks and Expedition Pvt. Ltd. shall not be held responsible for refunds, compensation, delays, losses, or additional expenses resulting from circumstances beyond our reasonable control, including but not limited to natural disasters, extreme weather, political instability, strikes, border closures, government restrictions, pandemics, or other force majeure events.

Changes to This Cancellation & Refund Policy

Mountain King Treks and Expedition Pvt. Ltd. reserves the right to update or modify this Cancellation & Refund Policy at any time.

Any revisions will be published on this page and become effective immediately upon publication.
