Overview
Mountain King Treks and Expedition Pvt. Ltd. is committed to providing fair, transparent, and professionally managed booking conditions for all trekking and travel services in Nepal. This Cancellation & Refund Policy explains the terms under which bookings may be canceled, modified, or refunded.
Advance Deposit Policy
To confirm any booking, a non-refundable advance deposit of 25% of the total trip cost is required.
This deposit is used to secure essential arrangements including trekking permits, experienced guides, accommodation, transportation, and other necessary administrative services prior to the trip.
Client Cancellation Policy
If a client chooses to cancel a confirmed booking, the advance deposit will be non-refundable, as preparations and operational commitments are often made immediately after confirmation on behalf of the client.
Trip Postponement Policy
Clients may request to transfer their deposit to a future trip date by providing written notice at least 14 days before the scheduled departure.
All postponements are subject to availability, seasonal conditions, and operational feasibility. Additional costs may apply depending on revised arrangements.
Unavoidable Circumstances
In situations where a trip is affected by events beyond our control—such as natural disasters, extreme weather conditions, government restrictions, political unrest, pandemics, or transportation disruptions—Mountain King Treks will offer:
- An alternative departure date, or
- A travel credit for future use
wherever reasonably possible.
Company Cancellation Policy
If Mountain King Treks cancels a trip due to operational, safety, or logistical reasons, clients will receive a refund of all payments made, excluding any non-recoverable costs already incurred on their behalf (such as permits or advance bookings).
Refund Processing Time
Approved refunds will be processed within a reasonable timeframe. Bank charges, transaction fees, or international transfer costs (if applicable) will be deducted from the refund amount.
Unused Services Policy
No refunds will be provided for:
- Missed or unused services
- Voluntary early departure from the trek
- Missed flights, transport, or activities
- Itinerary changes requested during the trip
once the journey has commenced.
Force Majeure Clause
Mountain King Treks shall not be held responsible for refunds, compensation, or liability arising from circumstances beyond our control, including but not limited to natural disasters, political instability, strikes, border closures, or other force majeure events.
Policy Updates
Mountain King Treks reserves the right to update, modify, or revise this Cancellation & Refund Policy at any time without prior notice. The latest version will always be available on our official website.
Agreement & Acceptance of Terms
By confirming a booking with Mountain King Treks and Expedition Pvt. Ltd., clients acknowledge that they have fully read, understood, and agreed to the Cancellation & Refund Policy outlined above.
This policy forms an essential part of the booking agreement and applies to all trekking, tour, and travel services offered by our company in Nepal.
