Ltd., we are committed to providing a simple, transparent, and reliable booking process for trekking, tours, peak climbing, mountaineering expeditions, and other travel services in Nepal. Our Booking Policy is designed to ensure clear communication, secure reservations, and a smooth booking experience from your initial inquiry through the completion of your journey.

This Booking Policy explains our booking procedures, reservation process, advance deposits, payment arrangements, booking confirmations, itinerary amendments, cancellations, refunds, and other important booking terms. By booking any of our services, you acknowledge that you have read, understood, and agreed to this Booking Policy together with our Payment Information, Terms & Conditions, and other applicable company policies.

Whether you are booking a trekking adventure, cultural tour, peak climbing expedition, mountaineering expedition, wildlife safari, helicopter tour, or customized Nepal holiday, our experienced team is committed to making your booking process clear, secure, and hassle-free.

Booking Process

To reserve your trip, simply submit a booking request through our official website, email, WhatsApp, or another verified communication channel. Once we receive your inquiry, our team will confirm availability and provide the relevant trip details, pricing, and booking instructions.

Deposit Requirement & Payment Process

Once you have selected your preferred trip and decided to proceed with your booking, we will provide our official company bank account details for international SWIFT bank transfer.

To secure your reservation, a non-refundable deposit of 25% of the total trip cost is required. Although the deposit is non-refundable, it may be transferred to a future departure date if a written postponement request is submitted within the applicable period specified in this Booking Policy.

International SWIFT bank transfers generally require 3–5 business days to be credited to our company bank account, depending on the sending bank and country of origin.

Payment Confirmation & Booking Activation

After completing the bank transfer, please send us a copy of your payment receipt, bank transfer confirmation, or transaction screenshot by WhatsApp or email.

Once we receive and review your payment confirmation and verify your booking details, we can begin the necessary trip arrangements, including permit processing, guide assignments, accommodation reservations, transportation, and other travel logistics.

The transferred payment will be fully verified once the funds have been successfully credited to our company bank account.

Final Booking Confirmation

Your booking is considered confirmed once we have reviewed your payment confirmation, verified the booking details, and accepted your reservation.

We may begin necessary preparations after receiving your payment confirmation, while the international bank transfer is still being processed. Final payment verification is completed once the transferred funds have been credited to our company bank account.

Remaining Balance Payment

The remaining balance may be paid before departure or upon your arrival in Kathmandu, according to the payment arrangement agreed upon during the booking process.

Required Documents

Depending on the nature of your trip, we may request the following documents and information:

• Passport copy
• Travel insurance details
• Passport-sized photographs
• Flight and arrival information
• Emergency contact details

Permit Arrangements

Mountain King Treks & Expedition Pvt. Ltd. will arrange the required trekking permits, national park permits, conservation area permits, restricted area permits, and other necessary travel documents based on the requirements of your chosen trip and the information provided by you.

Trip Postponement

The advance deposit is non-refundable. However, it may be transferred to a future departure date if a written postponement request is received at least 14 days before your scheduled departure, subject to availability, applicable conditions, and any additional costs.

Last-Minute Bookings

Whenever operationally possible, we are pleased to accept last-minute bookings. However, permit processing times, transportation availability, accommodation availability, and other logistical requirements may affect the final confirmation of a trip.

Special Requests

Please inform us of any dietary requirements, accommodation preferences, private departure requests, or additional services during the booking process. We will make every reasonable effort to accommodate your preferences whenever possible.

Agreement to Company Policies

Before confirming your booking, we encourage you to carefully review our Terms & Conditions, Privacy Policy, Cancellation & Refund Policy, Travel Insurance Policy, and Responsible Travel Policy.

By confirming your reservation, you acknowledge that you have read, understood, and agreed to all applicable company policies, terms, and conditions relating to your booking.

Changes to This Booking Policy

Mountain King Treks & Expedition Pvt. Ltd. reserves the right to update or modify this Booking Policy when necessary. Any changes will be published on this page and become effective upon publication.
